Retreat Terms & Cancellation Policy

At Open Circle, our retreats are created with care, presence, and attention to the experience of every participant.

Behind each retreat are many advance arrangements — accommodations, transportation, facilitators, permits, meals, and logistical planning that are confirmed ahead of time.

The policies below help us hold these experiences sustainably and fairly for everyone involved, while remaining as understanding and compassionate as possible.

Booking & Payments

Your retreat booking is confirmed once payment has been received.

As retreat spaces are limited, we recommend booking early to reserve your spot.

Some retreats may require full payment in advance, while others may allow partial payment or deposits depending on the nature of the retreat. Details will be shared on the individual retreat page or booking form.

Cancellation Policy

Because retreat planning involves advance commitments and limited spaces, a portion of the retreat amount becomes non-refundable if a cancellation occurs.

More than 15 days before the retreat

20% of the total retreat amount is non-refundable.

Less than 15 days before the retreat

50% of the total retreat amount is non-refundable.

Transfer of Booking

If you are unable to attend, you may transfer your booking to another person approved by Open Circle Yoga.

Please contact us in advance so we can support the process smoothly.

Organizer Cancellation or Changes

Open Circle Yoga reserves the right to cancel, postpone, or make necessary changes to a retreat due to unforeseen circumstances, including:

• weather conditions
• safety concerns
• travel restrictions
• insufficient registrations
• facilitator illness
• unforeseen emergencies

In such cases, participants will receive a full refund of payments made directly to Open Circle Yoga.

Please note that Open Circle Yoga is not responsible for external travel expenses such as flights, visas, insurance, transportation, or personal bookings made independently.

Personal Responsibility

Participants are responsible for ensuring they are physically and mentally able to participate in the retreat activities.

For international retreats, we strongly recommend purchasing travel insurance that covers trip cancellations, medical emergencies, and travel-related disruptions.

Unexpected Situations

We understand that unexpected situations can arise in life.

While we will always do our best to respond with care and understanding, retreats involve advance commitments and preparation costs that may not always be recoverable.
